The expensive problems tend to appear later: a substituted battery, uneven microphones, unstable firmware, weak charging contacts, or a compliance report tied to another model.

1. Define the selling product before asking for quotes

A request for “good ANC earbuds with long battery life” will produce prices, but the quotes will not describe the same product. One supplier may quote a mature chipset and known cell. Another may quote a lower-cost board, smaller battery and a software feature labelled ANC. The difference stays hidden until you write the specification.

Start with the intended customer and sales channel. A low-cost promotional earbud, a retail in-ear model and a call-focused business headset need different controls. Tell suppliers where the product will be sold, whether it will carry your brand, which phones and apps matter, and which claims will appear on the box.

2. Find out who owns the product design

The company answering your inquiry may be a finished-goods factory, an assembly plant, a design house, a trading company, or a sales office connected to several factories. Any of these arrangements can work. What matters is knowing who controls the PCB, antenna, tooling, firmware and bill of materials.

Ask for the Chinese business license, factory address, payment beneficiary and the names of the companies that hold the main test reports. Compare them. A clean explanation is possible when several entities are involved, but the responsibilities should be written.

During a factory visit or remote audit, look beyond the sample room. Check current earbud production, incoming material storage, battery storage, assembly stations, acoustic test fixtures, charging tests, aging racks, packing lines and the area for rejected goods. Ask to see recent records for products that resemble yours.

  • Which parts are made or programmed in-house, and which are purchased?
  • Who can change firmware, touch controls, voice prompts and app settings?
  • How are battery, driver and microphone suppliers approved and traced?
  • What is tested on every unit, and what is checked by sampling?
  • How does the factory record engineering or component changes?
  • Can the factory show a failed-lot investigation and corrective action?

The answers should connect to records, equipment and named staff. A catalog and a row of certificates do not show whether production is under control.

3. Use a staged sample process

One courier sample is not enough to approve mass production. It may be hand-selected, assembled with non-production parts, or loaded with temporary firmware. Use samples in stages so that each one answers a different question.

Test more than one unit at the later stages. If three samples have noticeably different sound, microphone level or battery runtime, selecting the best one as the golden sample hides a process problem. The spread between units is part of the result.

4. Freeze the BOM and firmware

Two earbuds can look identical while using different cells, drivers, microphones, memory, charging controllers or antenna layouts. Those changes can affect runtime, call quality, radio stability and compliance. The purchase agreement should identify the approved bill of materials and firmware build, with a written approval step for substitutions.

Do not accept “same level” or “equivalent part” as the whole change process. Ask the supplier to state the manufacturer, model and key specification of any replacement, explain why it is needed, and provide comparison samples or test data before use. For a higher-risk order, include controlled destructive checks so selected production units can be opened and compared with the approved BOM.

Firmware needs the same discipline. Record the build used for the approved sample, the phone operating systems tested, the control map, prompts, reconnect behavior, app version and update method. A last-minute firmware patch can solve one bug and create another.

5. Treat battery claims as measurable specifications

Battery capacity printed on a quotation is only a starting point. Ask for the cell manufacturer, model, nominal capacity, rated capacity, voltage, date code and production lot. The charging case has its own cell and control board, so it needs separate identification.

Runtime also depends on codec, volume, ANC, microphone use, connection conditions and firmware. Write the playback test conditions beside the promised hours. For example, a result at 50% phone volume with ANC off cannot support a claim based on ANC use at a higher level. Check several units and report the range, not only the longest result.

The UNECE Manual of Tests and Criteria, Revision 8 and its amendments includes subsection 38.3 for lithium cells and batteries. A document for a vaguely similar cell is not enough; match manufacturer, model and configuration.

Product and market requirements may call for further battery safety evidence. IEC 62133-2 addresses safety requirements and tests for portable sealed secondary lithium cells and batteries. Ask a competent laboratory which edition and scope apply to the finished product and destination.

6. Check Bluetooth and market documents against the final model

A supplier may send a folder named CE/FCC/RoHS and expect the buyer to approve it. Open every file. Check the applicant, manufacturer, model, product photographs, PCB, antenna, firmware, battery and test dates against the version you will sell. Reports for a family model need a clear basis for covering your variant.

Bluetooth qualification is a separate check. The Bluetooth SIG qualification guidance states that Bluetooth products must complete the qualification process before sale or distribution, and that a supplier cannot complete the buyer’s product qualification on the buyer’s behalf. The product name and model number used in the market should match the qualified listing.

For the United States, use the FCC’s current equipment-authorization procedures and laboratory guidance for the final radio device. The FCC Office of Engineering and Technology Knowledge Database is an official source for procedures and measurement guidance. For the European Union, radio equipment falls under the Radio Equipment Directive 2014/53/EU, while the RoHS framework restricts hazardous substances in electrical and electronic equipment.

The correct route depends on the destination, importer role, product claims and sales channel. Decide it before mass production, then give the factory a document matrix with model names, responsible companies, test scope, labels, manual text and required files.

7. Turn quality promises into pass/fail checks

A listening test can find obvious noise or imbalance, but it will not control production on its own. Agree on fixtures, phone models, test audio, distances, timing and limits. Keep the golden sample available, then add measurements where variation matters.

For ANC or transparency modes, define more than the button action. Compare attenuation, left-right balance, hiss, oscillation and behavior when the seal changes. Marketing labels such as “AI ENC” do not provide a test method.

8. Run reliability work before final inspection

Final inspection happens too late to discover that the hinge fails after repeated use or the charging contact moves after a drop. Reliability tests belong in development and pilot production, with the final construction and packaging.

9. Put the control points into the purchase order

The quotation, purchase order and quality agreement should tell the same story. List the approved model, BOM revision, firmware, golden sample date, packaging files, quantity by SKU, inspection standard and delivery terms. Attach drawings or limit samples for cosmetic areas that are hard to describe.

MOQ also needs detail. A supplier may accept 1,000 pieces in total but require 1,000 of each color, or charge separately for custom prompts, packaging plates, app work and tooling. Ask which costs are refundable, who owns the tooling and what happens to paid development files if the project stops.

Tie payment to evidence. A deposit may start materials, but the balance should follow completed production, agreed inspection results and document readiness. If a serious defect remains open, record the rework and reinspection plan before releasing funds.

10. Inspect the shipment, then control the release

A pre-shipment inspection should occur when the order is finished and enough units are packed to represent the shipment. Use a defined sampling plan, but separate safety-related checks from ordinary cosmetic defects. Some known risks may need 100% screening.

The report should show the lot size, sample size, firmware, phone models, equipment, measurements, defects and carton details. It should also compare labels, manuals, barcodes and accessories with the approved files. Photographs are useful when they identify the sample and defect instead of showing a general view of the factory.

Do not ask the inspector to decide whether a changed component or missing certificate is commercially acceptable. The importer should make that decision with the specification, lab advice and sales-market requirements in hand.
